Adding new Salespeople within MarketTime is simple, and allows your new Salespeople to easily fill out their own information and create their username and password.
What you'll learn
- How to create a new Salesperson
- How to set a Salesperson's initial default Commission rates
- How to assign Manufacturers to your new Salesperson
- What happens when you add a Salesperson who already uses MarketTime with another agency
What's New & Why We Made This Change
When the same Salesperson ID was shared by more than one sales agency, it could cause mtPro license issues, and a few other inconveniences when navigating MarketTime. Now, every agency gets its own Salesperson ID. When you add a Salesperson who already uses MarketTime, their details are copied into a brand-new Salesperson ID that belongs only to your agency.
| Before | Now |
| Adding an existing MarketTime Salesperson attached their current Salesperson ID to your agency, so several agencies could share one ID. | Adding an existing MarketTime Salesperson creates a new Salesperson ID just for your agency, pre-filled with their details. |
| Salespeople could request to join an agency themselves with the Link up with Sales Agencies button on their dashboard. | That button has been removed. The agency admin adds the Salesperson instead. |
How to Get There
To add a new Salesperson, use the New button found on the Browse Salespeople screen.
Adding a Salesperson
-
When adding a new Salesperson, enter in their name into the Search field.
- If the person already has a MarketTime Salesperson record with another agency, you can select it. See Adding a Salesperson Who Already Uses MarketTime below for what happens next.
-
On the next screen, you'll be asked to set their Email Address (1) (the email address that will be tied to their login account), their Abbreviation (2), and PO Prefix (3).
- Use the Email for Orders field to designate a company email address for them if desired.
-
On the next screen, you'll determine Division and Salesperson Territory assignments.
NOTE: If you do not have these set up yet, you may proceed and update this at a later time by editing the Salesperson if desired.
-
The final screen allows you to set Commission Rates per Manufacturer/Order Code as needed.
NOTE: This can be updated at a later time by editing the Salesperson if desired. All Order Codes are selected by default. You can delete any the rep will not be using, and use the drop down to add back in any you accidentally delete.
- When finished with the initial setup, click Finish.
The Salesperson will be added to your Salesperson list, and they will receive an email invite to create their Username/Password. Once they do this, they're able to log in and access any data you've assigned to that Salesperson record.
Adding a Salesperson Who Already Uses MarketTime
If you select a Salesperson who already has a MarketTime record with another agency, MarketTime creates a new Salesperson ID for your agency when you finish.
- Select the existing Salesperson in the Search field.
- Their current details are filled into the form for you. Review them and change anything you need. The values you enter are the ones saved to your agency's new record.
-
On every step, you'll see this message:
"The existing SalespersonID [ID] will be replaced by a newly generated SalespersonID after you have completed this process."
This is expected. The Salesperson's record with their other agency isn't changed. Your agency simply gets its own ID.
- Complete the remaining steps and click Finish.
MarketTime then gives the Salesperson access to your new Salesperson ID based on how their current record is set up:
- One login on their current record: the new Salesperson ID is added to that login automatically. They'll see your agency the next time they log in.
- More than one login on their current record: an email goes to the Salesperson's email address. They click the link, sign in with their existing username and password, and the new Salesperson ID is added to their login.
- No login on their current record: the new Salesperson ID is created, but no login access is set up and no email is sent.
What to Be Aware Of
- Salespeople can't add themselves to an agency: the Link up with Sales Agencies button is no longer on the Salesperson dashboard. An agency admin must add the Salesperson from the Browse Salespeople screen.
- One login, multiple agencies: a Salesperson who works with several agencies keeps a single username and password. Each agency has its own Salesperson ID on that login.
- History stays on the old ID: orders and commissions recorded under the Salesperson's previous ID stay with that ID. Your agency's reports only include activity under your new Salesperson ID.
- Agency name at login: a Salesperson with more than one Salesperson ID may not yet see which agency each ID belongs to when they log in. This will be updated soon.
- Existing setups aren't changed yet: this update applies to Salespeople added from now on. Salesperson IDs that are already shared by more than one agency are not changed by this update.
FAQ
Why does the form say the existing SalespersonID will be replaced?
Your agency is getting its own Salesperson ID for this person. Their record with any other agency stays as it is. The message lets you know a new ID will be created when you finish.
Will the Salesperson need to create a new username and password?
No. If they already have a login, the new Salesperson ID is added to it, either automatically or after they sign in from the email link.
A Salesperson says they can't find the Link up with Sales Agencies button. Where did it go?
It was removed. Ask the agency's admin to add them from the Browse Salespeople screen.
Why don't I see this Salesperson's past orders in my reports?
Orders and commissions from before you added them are tied to their previous Salesperson ID. Your reports show activity under the new Salesperson ID your agency created.
The Salesperson never received an email. What should I check?
An email is only sent when more than one login is attached to their current record. If one login is attached, access is added automatically with no email. If no login is attached, no access is set up. In that case, contact MarketTime Support for help setting up their login.
