Status Column
The Status column shows the current status of the order within the sales agency.
For orders that have been Transmitted, the Status can be changed to CONFIRMED if desired.
A short explanation of each status you may see is below:
INCOMPLETE - This order has made it to the Finalization screen but needs required information such as an Order Code, Payment Terms, or Shipping Terms. Incomplete orders may not be transmitted to Manufacturers.
OPEN - This order has been finalized and saved and may be transmitted to Manufacturers or Customers.
QUOTE - This status is discretionary and usually indicates that the order is not yet ready to be transmitted to the Manufacturer.
TRANSMITTED - This is an order that has been transmitted to the Manufacturer. Re-transmitting an order will send a notification to the Manufacturer that the order has been updated, but MarketTime recommends always following up with the Manufacturer for confirmation of the changes.
CANCELLED - This status is discretionary but usually indicates the order has been canceled by a party involved with the order.
- When a Manufacturer updates the status to CANCELLED, both the Manufacturer and Agency status of the order is updated to CANCELLED, and the Salesperson on the order is notified.
- When a Salesperson updates the status to CANCELLED, both the Manufacturer and Agency status of the order are updated to CANCELLED and, the Manufacturer is notified, and the Salesperson is allowed to add a note when doing so.
When setting an order to CANCELLED, we recommend adding a note, as the manufacturer will be notified via email when this status changes.
- If your Auto Close % is set to 98%
- And for an order:
- Order Total = $1,000.00
- Invoice Total = $500.00
- After finishing the 3-Step Pay Salespeople process, the order status will automatically update to "Rep Paid" (since $500.00 is 50% of the $1,000.00 order total).
- You can continue adding invoices/commissions to this order, and the status will change to "Paid" once the invoice/commission amount meets or exceeds the "Auto Close" percentage.
COMPLETE - This status appears automatically after completing the 3-Step Pay Salespeople process when the total invoice amount for an order meets or exceeds the "Auto Close" percent you have set on the Order Payments > Commissions screen.
- If your Auto Close % is set to 98%
- And for an order:
- Order Total = $1,000.00
- Invoice Total = $990.00
- After finishing the 3-Step Pay Salespeople process, the order status will automatically update to "Paid" (since $990.00 is 99% of the $1,000.00 order total).
- You can continue adding additional invoices/commissions to this order. The status will remain "Paid" because the invoice/commission amount already meets or exceeds the "Auto Close" percent.
Manufacturer Status Column
The MFR Status column shows you the status on the Manufacturer's side at a glance.
When a Manufacturer views an order, it is automatically marked as RECEIVED, and the Salesperson on the order receives an email notification updating them on this change.
The manufacturer can then change the order status to various default statuses.
Please refer to the Manufacturer with questions about an order's status or meaning of the status.
Additional Features
Additional actions for each order may be found by clicking the "arrow" icon next to each order.
- Print/Preview - View a preview of an order and print if desired.
- Download PDF - Download a PDF copy of the order to your local machine.
- Mark as Sent - Mark the order as TRANSMITTED. This will not send a notification to the Manufacturer but will appear as RECEIVED for them within the Portal.
- Duplicate Order - This allows you to make an exact copy of the selected order.
- Delete Order - This allows you to delete the order permanently. THIS ACTION CAN NOT BE UNDONE
- NOTE: When an order is deleted, it can no longer be accessed by anyone (Customers, Manufacturers, or anyone within your Sales Agency). This also prevents the Manufacturer from processing/collecting payment on this order if it's been transmitted.
Edit an Order
To edit an order, the Edit button (shown as a "pencil" icon) will take you to the Order Entry screen to edit the order.
The order may be edited until it has an INVOICED or PAID status. After that, the order can be viewed or duplicated but not edited.
