The article below will provide guidance on the various ways your Supplier Play system can be configured when available dates and QOH exist.
If you use the Brandwise Gateway or an FTP client to send product data with Available Dates and/or Quantity on Hand, then you can find these settings in your SFAM login at e.brandwise.com.
Where to Find These Settings
Click Vendor Main Info & Order Settings and click the QTY on Hand tab.
What Does Each Setting Do?
- Split Sales Order by Available Date – When the product has a future available date and is added to an order it will split this item out and put it in a separate order. The order will have the available date as the ship date, thus creating a split order.
- Split Sales Order by Available Date (Web)– When the product has a future available date and is added to an order by a retailer when they are shopping online, it will split this item out and put it on a separate order. The order will have the available date as the ship date, thus creating a split order.
- Available Date Override
- When enabled (checked), the order taker can add a product with a future available date to an order with a lesser date. For example, an item only available next month could be added to the order with a ship date of today. *Note that the available date for a product will not appear if the product has been added to the order.
- When disabled (unchecked), the available date of the product is enforced. For example, a product available only next month cannot be added to an order with a lesser ship date. It can only be added to an order that is the day of the product's available date or a day after the available date.
- Select Ship Date by Percent– Upon confirming an order with multiple ship dates, you can choose the ship date by the percentage of the order that will ship on your ship date. For example, You have five products available to ship now and five products shipping later next month. If you choose an ASAP ship date, then the percentage you will see upon choosing today's date is 50% whereas if you choose a ship date of next month you will have a percentage of 100% that will ship on that ship date. This option is great for summarizing and displaying products that can ship now vs products shipping at a much later time which can create an opportunity to add more ASAP available items to the order. If this option is enabled, then the order taker can choose to group the items on the sales order copy by available date, which provides the retailer with a reference of the available dates.
- Show Quantity On Hand– This will display the available date of the items in your Play system.
- Process QOH on Scan– If you use Quantity on Hand, upon adding an item to your order by scanning a barcode, it will automatically take the quantity of the product added to the order and deduct that from the overall quantity of the product that you have on hand. Note that this is only reflected on the Play device you are using to write orders.
- Process Qty On Hand– This will take the qty of the item on your order and deduct it from the overall quantity on hand shown on your Play device once the order has been finished (HFC or Confirmed)
Click the Sales Order Rules tab to configure selling out-of-stock items.
- Allow Selling Out of Stock (Road and Show mode)
- When enabled (checked), if the product has an overall quantity on hand of 0 (there is none of this product left), this setting will allow the order taker to add it to the sales order.
- When disabled (unchecked), if the product has an overall quantity on hand of 0, then the order taker can no longer sell this product and will give them a message upon selecting the item that this item is no longer in stock and cannot be added to an order
Best Practices and How to Use Each Setting
The four settings below determine your configuration:
- Split Sales Order by Available Date
- Available Date Override
- Select Ship Date by Percent
- Allow Selling Out of Stock

- Enforce your available dates, split by available date, and disable allow selling out of stock items:
- Split Sales Order by Available Date -- On

- Don't split by available date, select ship date by percentage, and disable allow selling out of stock items:
- Split Sales Order by Available Date -- Off
- Select Ship Date by Percent -- On

- Allow Selling Out of Stock -- Off
- Split by available date but allow your order takers to add future-dated products to orders with the lesser date such as today instead of the future as well as allow selling out of stock items:
